Built for launch day, sharper with every launch

Resilience was designed in before go-live, not added afterwards. Between launches, the team gathered feedback from sales, finance and management, and shipped improvements so each launch ran faster and with more control than the last.

  1. Launch 1

Go-live and first launch, same day

A fallback path built around Salesforce before go-live kept every sale moving, even when a connected system was interrupted.

    Added for Launch 2

Role-based training and permissions for every team on the platform.

  2. Launch 2

Scaled for a faster sales pace

As volumes grew, the sales team allocated units directly from live inventory in Salesforce, keeping every buyer’s booking protected.

    Added for Launch 3

Channel-wide inventory controls, so a unit can only be committed once at any sales pace.

  3. Launch 3 onward

    A repeatable launch playbook

Launches now run to plan, with management following sales on live dashboards as they happen.

    Ongoing

Streamlined pre-launch and post-launch data validation, and dashboards tuned to how leadership tracks a launch.

1,200+ units sold across four launches within 12 months.

What changed, area by area

Metadata Technologies made Salesforce the single source of truth for every system, which kept sales running on launch day.

Buyer journey

Paper and in personBuyers visited a sales centre and filled in paper forms, which shut out buyers abroad.

Fully online reservationBuyers anywhere reserve online via web app, UAE Pass, KYC, payments and DocuSign, checked live in Salesforce.

Lead routing

No ownership rulesNo set path for enquiries between call centre, customer excellence and sales.

Rules-based routingRound-robin assignment, response SLAs with an escalation matrix, and tracked handovers from call centre to sales agent.

Launch inventory

No inventory systemNothing to release, block or track units, and an early plan to hold inventory in the ERP.

Live inventory in SalesforceReal-time release and block, visibility by user and channel, and finance data on every unit for a clean ERP sync.

SPAs

Paper contractsAgreements prepared, printed and signed in person, carrying large amounts of deal data.

Zero-paper SPAsNintex generates each SPA from CRM data in the developer’s exact format; buyers sign via UAE Pass and DocuSign.

Finance and ERP

Re-keyed by handWith no link to Oracle Fusion, invoices and receipts would be re-keyed and reconciled by hand.

Two-way Oracle Fusion syncInventory, customers, invoices, receipts, payment plans and statements of account move between Salesforce and the ERP.

KYC and AML

Manual checksIndividual, corporate and shareholder buyers each needed different paperwork, checked by hand.

KYC built into the saleSeparate KYC flows per buyer type, failed checks re-run automatically, and DARI registration linked to the transaction.

Management view

Reports after the factLeadership would only see launch results once spreadsheets were compiled.

Live dashboardsSales by project, agent and buyer profile, plus pipeline and approvals, visible as the launch happens.

    Frequently asked questions

What happens if a connected system fails in the middle of a launch?

Sales keep going. Every connected system feeds Salesforce, so the CRM always holds the full picture of the unit, the buyer, the booking and the payment. For the systems that feed the sale directly, an alternate path was built around the CRM from the start, so a sale can be completed in Salesforce while the other system recovers and then catches up. This was proven on the first launch day, when a connected system was interrupted and sales carried on. Our article on what can go wrong with real estate CRM integration explains the failure points we plan around.

Why keep unit inventory in Salesforce rather than in the ERP?

The developer first planned to create inventory in its ERP. We advised against it: inventory created in two places has to be reconciled constantly, and PropertyFlex already includes the inventory processes launch teams rely on, such as release and block, visibility by user and channel, and the finance data the ERP needs on each unit. Keeping inventory in Salesforce and syncing it to Oracle Fusion gave one version of the truth, and it is the reason sales could continue when a downstream system went down.

How can a property purchase be completed fully online in the UAE?

Each step that used to need a visit is handled digitally and checked against Salesforce in real time. Buyers verify their identity with UAE Pass, pass KYC checks designed for their buyer type, pay the booking amount through the payment gateway and sign a Sales and Purchase Agreement generated from CRM data through UAE Pass and DocuSign. Registration with DARI is connected to the same transaction. For more on why this stage matters, read how GCC property sales teams protect revenue between booking and contract.

How long does a PropertyFlex implementation take for a developer starting from scratch?

This project took nine months from kick-off to go-live, including 13 integrations and the developer’s first launch on go-live day. Phase one covered lead, opportunity and sales offer management, unit sales, inventory, finance (invoices, receipts and milestones) and every integration. The delivery team was a solution architect, a dedicated tester and a development team that grew from two to five as the integration work expanded. Timelines for other developers depend mostly on how many systems need to connect and how many buyer journeys there are.

How do you prepare a developer for launch day?

Launch readiness is built into the project, not left to the day. Fallback paths around Salesforce are designed before go-live, so a sale can always complete in the CRM. Pilots run with business users across every integrated system before each go-live milestone, every team gets role-based training and permissions, and inventory controls stop a unit being committed twice across channels. Between launches we gather feedback from sales, finance and management and ship improvements before the next one opens. Our guide on why real estate project launches fail at scale covers the risks we plan for.

What comes next for the developer?

The next phases extend the platform from sales into the full ownership lifecycle: a broker portal, post-sale processes such as upgrades, transfers and amendments, wider use of Service Cloud, unit handover and snagging, sales promotions, a customer portal on Experience Cloud, and AI agents with Agentforce inside the CRM.

Why isn’t the developer named in this customer story?

Launch plans, pricing and integration details are competitive information in the UAE market, so we have kept the developer anonymous. Only identifying details have been removed; the numbers and workflows described here are real. If you’d like more context before deciding whether a similar setup suits you, please talk to our team.

We use Microsoft Dynamics 365 rather than Salesforce. Is there an option for us?

Yes. Metadata Technologies also builds Property-xRM, an award-winning real estate CRM on Microsoft Dynamics 365. It brings the same real estate workflows, including launches, reservations, SPAs and broker management, to teams that work in the Microsoft ecosystem.

What happens after I contact your team?

When you talk to our team, we’ll arrange a 30-minute discovery call. Bring your launch calendar, the systems you already run or plan to buy, and how you want buyers to purchase. We’ll show you the parts of PropertyFlex that fit your projects and outline what an implementation could look like, with no obligation.

Where can I find out more about Metadata Technologies and PropertyFlex?

Metadata Technologies is a real estate CRM company and Salesforce Partner that builds CRM systems around how real estate actually operates: unit-based inventory, project launch cycles, payment plans and the post-sale relationship. With 20+ years in real estate CRM, the company has delivered 100+ implementations across 12+ countries, supported by 60+ support staff, and maintains an average client relationship of 5+ years. Its platforms support 150M+ sq ft of real estate and 2,000+ active users for developers, landlords and leasing teams across the GCC, MENA, APAC and North America.

    About PropertyFlex

PropertyFlex is a purpose-built real estate CRM on Salesforce. It covers the full lifecycle on one shared data model: project, property and unit inventory with live availability, offers, bookings, payment plans and RA/SPA signing, broker and customer portals, leasing, and post-sale processes such as handover, transfers and upgrades. Developers start with two decades of real estate workflows from day one rather than a blank canvas, with AI agents on Agentforce that turn enquiries into opportunities and carry buyers through to signing.

    About Salesforce

Salesforce is a leading AI CRM platform, bringing sales, service, marketing, commerce and data together on one trusted foundation. Sales Cloud, Service Cloud, Marketing Cloud, Experience Cloud and Agentforce give businesses enterprise security, scalability and open integration with the systems they already run. On its own, Salesforce provides the platform; with PropertyFlex on top, it gains the real estate structure, such as projects, units, payment plans and SPAs, that a standard CRM configuration does not include out of the box.
