How does it work day to day?
How PropertyFlex Manages Documents, From Upload to Signature
Open a booking, unit or customer and see every document that belongs to it, required and optional, in one place. Passports, IDs, property images, forms and contracts are uploaded, previewed and checked without leaving Salesforce.
- ✓Upload and preview from the record page
- ✓Required and optional documents together
- ✓Verification status on every document
PropertyFlex lists the documents each process requires, so your team sees what has been received, what is verified and what is still outstanding before a booking moves to SPA.
- ✓Required documents set per process
- ✓Upload, preview and verify from the checklist
- ✓Works across bookings, units, customers and more
Create booking forms, SPAs, receipts and invoices from standard templates, filled with booking, unit and payment plan data. Send them for e-signature and file the signed copy back to the record.
- ✓SPAs and booking forms generated from your templates
- ✓Receipts and invoices issued automatically
- ✓e-Signature with DocuSign and UAE Pass
A document stored on one record can appear on related records, so the passport uploaded on a booking is already on the customer and the SPA on the unit is visible on the booking. One file, no duplicates.
- ✓Documents shared across related records
- ✓Visibility rules switched on or off without code
- ✓Only active, configured rules expose documents
PropertyFlex adds values from the record, such as the booking or unit number, to each document name when it is uploaded, so fifty booking forms never look the same.
- ✓Booking or unit number added automatically
- ✓Different records produce different names
- ✓Default name kept when no value is set
Every new upload keeps the earlier versions, and each view, download and signature is recorded. Access follows your Salesforce roles, so sensitive IDs and financial documents reach only the people who need them.
- ✓Earlier versions kept with every update
- ✓Audit trail of views, uploads and signatures
- ✓Role-based access to sensitive documents

Real Estate Document Management in Salesforce: FAQs
What is real estate document management software?
Real estate document management software stores and tracks the documents behind every property deal, such as booking forms, passports and IDs, SPAs and lease agreements, against the right customer, unit and booking. Instead of hunting through inboxes and shared drives, your team uploads, previews and verifies every file from one record. PropertyFlex delivers real estate document management in Salesforce natively.
Why do real estate developers need a document management system?
Every booking depends on paperwork. When documents sit in emails and folders, missing IDs or unsigned forms are found only when the SPA is due, and the same file is uploaded again and again. A document management system gives sales, operations and finance one organised view of what has been received, what is verified and what is still missing.
Can Salesforce manage real estate documents?
Salesforce can store files, but out of the box it has no real estate document checklists, verification status or rules that share one document across bookings, units and customers. PropertyFlex adds that real estate layer on top of Salesforce, so your team can manage deal documents from day one instead of building these processes yourself.
How does the Document Checklist work?
Administrators set which documents each process requires, for example for a booking or an SPA. The checklist then shows each required document on the record with its status, so your team can upload, preview and verify the missing items before the deal moves forward.
What is extended document visibility?
It lets a document created on one record appear on related records without creating a copy. A passport uploaded on a booking can also be shown on the customer and unit, through the relationship between those records. Administrators choose where documents appear, and only active rules are applied.
Can document names include the unit or booking number?
Yes. PropertyFlex can add a value from the record, such as the unit or booking number, to the document name when it is created. Different records produce different names, and where no value is set the standard document name is kept.
Can PropertyFlex generate SPAs and booking forms automatically?
Yes. Booking forms, reservation agreements and SPAs are generated from your own templates and filled with booking, unit, customer and payment plan data, so every document follows the same standard format. Receipts and invoices can be issued automatically as payments and milestones are recorded.
Can buyers sign documents electronically?
Yes. Generated documents can be sent for e-signature through integrations such as DocuSign and UAE Pass, and the signed copy is filed back to the booking and unit.
Can we see earlier versions of a document?
Yes. When a new version is uploaded, earlier versions are kept, and views, uploads and signatures are recorded, so you always know which copy is current and who worked on it.
How are sensitive documents kept secure?
Access follows your Salesforce roles, profiles and permissions, so passports, IDs and financial documents are visible only to the teams that need them. PropertyFlex runs on Salesforce’s enterprise-grade security.
Which records can hold documents in PropertyFlex?
Bookings, units, customers and other Salesforce records your team works with. The same document experience can be added to new record types, so every team works the same way.
Do we need a developer to change document rules?
No. Required documents, visibility rules and document naming are all set through configuration, so administrators can update them without custom code.
