Reporting & Dashboards

Salesforce on its own does not know what a project, unit, payment plan or lease is. PropertyFlex brings real estate data and logic into Salesforce, so reports and dashboards for availability, revenue, team performance and collections work from day one instead of being built from scratch.

Why not just use standard Salesforce reports?

A Report Only Knows the Data Behind It. PropertyFlex Gives Salesforce Real Estate Data.

Salesforce has a powerful reporting engine, but out of the box it has no projects, units, bookings, payment plans or leases, so every real estate report starts from scratch. PropertyFlex adds the real estate data model and business logic to Salesforce, so the reports your managers need are ready from the first day.

02Revenue

Revenue You Can Trust in the Meeting

Performance Measured, Not Guessed

How does it work day to day?

How PropertyFlex Turns Daily Activity Into Live Real Estate Reports

Open one dashboard and see every unit by status: available, on hold, booked or sold. Drill into a tower’s stack plan to answer an availability question in seconds, while the customer is still on the call.

  • ✓Property-wise unit availability status
  • ✓Dashboards for each project, with many filters
  • ✓Updates the moment a unit is held or released

PropertyFlex reports revenue straight from the bookings and payment plans recorded in Salesforce. Leadership compares months, projects and regions against target without waiting for a finance file.

  • ✓Revenue by period, project and region
  • ✓Actual against target, month by month
  • ✓One set of numbers for every team

See how every agent, team and broker moves leads through viewings to bookings. Managers spot top performers and coaching needs from the same live data, not from end-of-month estimates.

  • ✓Leads, viewings and bookings per agent
  • ✓Conversion by team and channel
  • ✓Broker contribution next to in-house teams

Follow every deal from enquiry and EOI through booking, payment, contract and handover. Reports show where each deal is waiting and on whom, so blockers are cleared before they cost a sale.

  • ✓Pre- and post-transaction activity by stage
  • ✓Deals waiting too long, flagged automatically
  • ✓Pending approvals in one queue

Leasing teams see occupied and vacant space, upcoming vacancies and renewal dates across residential, commercial and retail properties. Expiring leases show up months ahead, not days.

  • ✓Occupancy and vacancy by property
  • ✓Lease expiries for the months ahead
  • ✓Renewal status for every tenant

Finance and customer-facing teams share one view of what has been collected, what is due and what is overdue. Every amount links back to its unit, booking and customer, so follow-up starts with the full picture.

  • ✓Collected against scheduled payments
  • ✓Overdue ageing by bucket
  • ✓Linked to the unit, booking and customer

Real Estate Reporting in Salesforce: FAQs

What is real estate reporting software?

Real estate reporting software, sometimes called real estate analytics software, turns the data behind every property transaction into reports and dashboards that managers can act on. Instead of exporting data into spreadsheets before each review, it shows unit availability, revenue, team performance, occupancy and collections from one source. PropertyFlex delivers real estate reporting inside Salesforce, so every number comes from the same project, unit, booking, payment and lease records your teams update every day.

What is the difference between a report and a dashboard in Salesforce?

A report is a list of records, such as units, bookings or leases, filtered and grouped to answer one question, for example all available two-bedroom units in a project. A dashboard puts several reports side by side as charts, tables and key figures, so a manager sees availability, revenue and collections on one screen. In PropertyFlex, users can choose to work from either, and every dashboard chart opens the report and records behind it.

Can Salesforce handle real estate reporting on its own?

Salesforce has a strong reporting engine, but out of the box it does not know real estate: there are no projects, towers, units, payment plans, leases or handovers to report on. Teams that start from a generic CRM have to design that data model themselves and often fall back on custom fields and spreadsheets. PropertyFlex brings the real estate data and logic into Salesforce, so standard Salesforce reports and dashboards answer real estate questions from day one, without building from scratch.

How does reporting work in Salesforce?

Salesforce reporting has two layers. Reports pull records with the filters and groupings you choose and can show them as a table, a summary or a matrix with a chart. Dashboards then combine several reports into one visual page, and every component can be clicked to see the records behind it. PropertyFlex supplies the real estate objects and ready-made reports, so these standard Salesforce tools work on property data from day one.

Which standard reports does PropertyFlex include?

PropertyFlex includes industry-standard management reports for real estate, including unit availability, rent roll, sales performance, leasing performance, unit vacancy, contract expiration, final settlement, revenue by project and region, collections and overdue payments, and pre- and post-transaction activity. Each report can be filtered by project, property, period or team, and used as a component on any dashboard.

What reports should a real estate developer track?

Most developers track a core set of reports: unit availability and percentage sold by project and unit type, revenue against target, deposits and instalments due or overdue, sales team performance, lead sources that turn into bookings, and deals waiting at each stage from booking to handover. Together they show whether a project is selling at the right pace and price, and whether cash is coming in on time. PropertyFlex reports cover each of these from the data your teams already record in Salesforce.

What KPIs should a real estate sales dashboard show?

A useful sales dashboard usually shows units sold and percentage sold by project, average price achieved, revenue against target, lead-to-booking conversion, the number of deals at each stage and the value of overdue payments. Managers often add team and broker leaderboards so performance is visible alongside the numbers. Because PropertyFlex dashboards can be created project-wise with many filters, each project or team can have its own version of these KPIs.

What questions can managers answer with PropertyFlex reports?

Each standard report answers a question managers ask every week. Unit Availability shows what is still free in a tower, Revenue by Project and Region shows whether the quarter is on target, Contract Expiration lists leases ending in the next 90 days, Rent Roll shows who pays rent on every unit and until when, and Collections and Overdue shows which instalments are late and by how long. For a question that is not covered, a new report can be built with the Salesforce report builder without code.

Can we build our own reports and dashboards without a developer?

Yes. Salesforce reports are built with a drag-and-drop report builder: choose a report type, pick the fields, add filters and groupings, and add a chart. Dashboards are assembled the same way from saved reports. Trained admins and power users can create and change reports themselves, so a new question from leadership does not become a development request.

Can we create dashboards for each project?

Yes. Dashboards can be created project-wise, so each project has its own view of availability, bookings, revenue and collections. Dashboards also come with many filters, such as project, building, unit type, period and team, and every user can choose whether to work from a detailed report or a visual dashboard.

Can Salesforce reporting work with Tableau?

Yes. Salesforce can be integrated with Tableau, so organisations that use Tableau for wider business intelligence can analyse PropertyFlex data there as well. Day-to-day reports and dashboards continue to run inside Salesforce for the teams that use them.

Can we report revenue by period, project and region?

Yes. Revenue reports group bookings and payment plans by month, quarter or year, and by project and region, so leadership can compare performance across the portfolio and track progress against target. Because the figures come from live Salesforce records, finance, sales and leadership all work from the same total.

How does PropertyFlex report on occupancy, vacancies and renewals?

Leasing dashboards and the occupancy report show occupied and vacant space by property, upcoming vacancies, lease expiry dates and renewal status across residential, commercial and retail properties. Standard property management reporting, such as rent roll, unit vacancy, contract expiration and final settlement, gives leasing and finance teams the detail behind each figure, so renewals and remarketing can start months before a unit falls empty.

What is a rent roll report?

A rent roll is a list of every leased unit in a property or portfolio, showing the tenant, rent amount, lease start and end dates and current status. Owners, lenders and buyers use it to understand income and lease risk at a glance, which makes it the most requested report in property management reporting. In PropertyFlex, the rent roll is built from the lease and tenant records in Salesforce, so it is always current and can be filtered by property, unit type or expiry date.

How do you calculate occupancy rate?

Occupancy rate is the number of occupied units, or occupied area, divided by the total number of units or area available to lease, multiplied by 100. For example, 186 occupied units out of 200 gives an occupancy rate of 93%. PropertyFlex dashboards calculate occupancy by property and for the whole portfolio from live lease records, so the figure updates as leases start and end.

Can we track the performance of agents, teams and brokers?

Yes. Performance dashboards track each agent and team against KPIs such as leads worked, viewings held, bookings or leases signed and conversion rate. Broker contribution appears next to in-house teams, so managers can see which channels bring real deals and where coaching is needed.

How can we see which marketing channels bring real buyers?

Every lead in PropertyFlex keeps its source, such as a property portal, a launch campaign, a broker or a walk-in. Reports can follow those leads through viewings and bookings, so marketing sees which channels produce sales rather than just enquiries. This makes it easier to move budget toward the channels and campaigns that convert.

How do we track deposits and instalments on off-plan sales?

Payment plans are stored on each booking in PropertyFlex, with every instalment and its due date. Collections reports then show what has been received, what is due in the coming weeks and what is overdue, grouped by project, unit or customer. Finance and sales teams work from the same view, so follow-up starts before a payment becomes a problem.

Can we see which deals are stuck?

Yes. Pre- and post-transaction reports show every deal by stage, from enquiry and EOI through booking, payment, contract and handover. Deals that wait longer than expected, pending approvals and overdue steps are highlighted, so managers can clear blockers before they cost a sale or delay a handover.

Are the dashboards live, and can we subscribe to reports?

Reports read live Salesforce data, so they reflect units, bookings, payments and leases as soon as teams record them. Users can subscribe to the reports they rely on and receive them by email on the schedule they choose, so the latest figures arrive without anyone having to log in and run them.

Can different roles see different dashboards and data?

Yes. Reports and dashboards are stored in folders that you share with specific users, roles or teams. Record access follows Salesforce roles and permissions, and dynamic dashboards can show each manager the numbers for their own team, so leadership, sales, leasing and finance each see what is relevant to them and nothing they should not.

Can we view reports on mobile?

Yes. The Salesforce mobile app shows the same reports and dashboards on phone and tablet, so managers can check availability, bookings or collections during a site visit, a launch event or a meeting away from the office.

Do we need a separate business intelligence tool?

Most day-to-day real estate reporting runs on native Salesforce reports and dashboards, so many teams do not need separate real estate analytics software or a BI tool. For deeper analysis, Salesforce can be integrated with Tableau, which works on the same PropertyFlex data, while operational reporting stays inside the CRM where teams already work.

How do we move real estate reporting off Excel?

Excel reporting usually breaks down because the data has to be exported, cleaned and combined by hand every month, and each version quickly goes out of date. With PropertyFlex, the projects, units, bookings, payments and leases already live in Salesforce, so reports run on current data without any copying. Teams can still export a report to Excel when they need to share a file, but the source of truth stays in the CRM.
